Activity Forms in Apps

Overview

In Bizagi Apps, Activity Forms are enhanced to match the app's design.

Within an Activity Form you are able to process your assigned cases using this interface. Activity Forms allow you to manage your assigned cases directly within the app's interface. You can access these Forms from various entry points, including the Inbox, Case Links, Process actions or by creating new records through My Stuff interactions.

Access to the Activity Forms in apps is also available through the Open Cases Monitoring feature in Ask Ada where you can run queries, view open cases, and reassign them within your direct team (first level of reporting) in real time.

 

The Activity Form has a clean view, with a segmented layout.

Components

Case header

The Case header displays the case number in the top-left corner. Resize and close buttons are shown in the top-right corner.

 

Depending on the current case and the activities defined, other options may be shown.

Some of them are:

A list of activities related to the current case.

A button to access a sub-process.

A button to access the related events.

Two buttons to navigate through cases.

Timeline

​The Timeline feature allows you to view the case activity Timeline directly from the Activity Form in apps. Follow these steps to make use of this feature.

1.Click the three vertical dots in the top-left corner.

2.Select Timeline.

3.You are now going to view the timeline of activities related to the case.

4.Unassigned activities ​will display an option to see Available Users.

Process diagram

To review the work flow associated with your case, please follow the steps below:

1.Click the three vertical dots in the top-left corner.

2.Select Process diagram.

3.You will now see the process diagram, which provides a visual representation of the activities related to your case.

4.To highlight the specific path that has been followed, click the Path button.

5.If multiple activities are currently in progress, you can choose which path to highlight by selecting it from the Current Activities drop-down list.

Case Link

Case Links provide a mechanism to generate and share direct links to specific cases within your app. When accessed, these links automatically open the corresponding Activity Form and display the current activity of the case.

 

To generate and copy a Case Link:

1.Click the three vertical dots in the top-left corner.

2.Select Copy case link.

A Case Link will be  automatically generated and copied to your clipboard.

Note that:

No links are generated for forms related to entities.

Links work only for active cases.

Clipboard operations require browser support.

Links remain valid as long as the case exists and is accessible.

 

To access an Activity Form using a Case Link:

1.Click the shared link.

2.If you're already logged in, the system will take you directly to the Activity Form for the specified case.

3.If you're not logged in, you'll be redirected to the login page first. After successful authentication, the system will open the Activity Form.

Note that:

The user must have permission to view the case.

All existing authorization rules continue to apply.

If access is denied, the user is redirected according to business rules.

Activity header

The Activity header displays the activity name, the process name and when the activity was created.

Case Form

Here you will find the Form created in Bizagi Studio for the allocated task.

Case progress indicator

This indicator shows the time remaining before the activity expires.

Click the Details button in the upper right corner of the window to open the side menu that contains the Case Progress Indicator.

A percentage indicator represents the available time to close the activity. The remaining time color and state change as time progresses and the activity has not been finished.

On time: The state uses the color green.

At risk: The state uses the color yellow.

Overdue: The state uses the color red.

 

Case creator

The Activity Form shows the case creator. The profile picture, the name and the email are shown.

Activity feed

The Activity Feed provides a summary of all activities associated with the case, including:

The user currently working on each activity (e.g., admon).

Last interaction time or time since the last update (e.g., In progress, 15 days ago).

Whether the activity is open or closed (e.g., The activity "Create Purchase Request" has been closed).

Two Form buttons are shown by default. You can customize these Form buttons and/or add new ones.

Components in mobile view

To perform activities from mobile devices in Bizagi Apps, the Activity Forms have a different layout and distribution from the inbox forms to give the user the best possible experience.

 

Activities or Sub-processes view

If the case accessed from the inbox has different activities or sub-processes, the following view will be shown, allowing you to select the desired activity or sub-process.

Case header

The Case header displays the the activity name in the center. The button to return to the inbox is placed on the left side.

The creation date and the case creator can be displayed under the Request Information dropdown list.
