Working with Excel files

Overview

Excel is a common application used by several organizations worldwide. Bizagi is aware of the importance of this application for business and has multiple features to cover all your business scenarios and needs. This article explains the scenarios and Bizagi features that you can use using Excel files.

Business Scenarios

Depending on whether you need to import or export information with Excel files, Bizagi provides different features you can use, the following section describes the scenarios where you can use Excel files:

Populate master and parameter entities

Export business information from processes

Export collections

Run Excel models and get results in Bizagi

It is very common that organizations run complex formulas within Excel files, that help to obtain results from models, for example, financial or economic models, that are usually done in Excel files. In such scenarios, Bizagi provides the Excel Connector.

For this scenario you can use the Excel connector.

Excel macros are not supported using the Excel Connector.

 

Populate collections

Within a form, users can upload an Excel file and extract the information from that file to populate collections. This can be very useful to easily import records in Bizagi processes, that can be used for a case.

You can create a business rule, that iterates over an Excel file and upload the records to a collection. Depending on the size of the file, you can execute the rule either using a button in a form or using an asynchronous activity. For further information see Read data from Excel file.

 

Populate Master or Parameter entities

Sometimes, to populate master data, information can be initially exported from an external system in an Excel file and upload it in Bizagi within master or Parameter entities.

Information in entities can be used in processes either from predefined lists stored in parameter entities, or information registered in processes using master entities. In some scenarios, you need to populate these entities in the early stage of the development using Excel files.

 

Parameter Entities

For Parameter entities, Bizagi provides a feature where you can download an Excel template, and then upload the template with the information directly in the Work Portal. See Parameter Entities values in the Work Portal.

 

Master Entities

To upload information of master entities from Excel files you have two options:

 

Using a business rule

Using the soa layer

 

Export business information from processes

Through your processes, you can provide information that might need to be exported in Excel files, for reporting or printing purposes. For example, you want to create an invoice in Excel, using information registered in a process. When you need to export information in an Excel file using a specific format, you can create a document template and generate the Excel file.

Export collections

Some business scenarios require sharing information quickly. For example, you need to download an Excel file with the information registered in a collection. Bizagi provides a feature that lets you download the information of a collection:

Import Users

Instead of registering users manually, users accessing the Work Portal can be imported using an Excel file.
