Bizagi Files Knowledge helps you build Knowledge Base Catalogs from documents that capture your organization’s knowledge, such as procedures, manuals, or reference materials.
These Catalogs give AI Agents and AI Workers the ability to use your own content during process execution, so responses stay accurate, consistent, and aligned with company standards.
With this feature, you can upload and process documents, track their status, and manage catalog versions in one place. Once ready, the information becomes available to Bizagi's AI components through Retrieval-Augmented Generation (RAG) for context-aware decision-making.
To create a Knowledge Base Catalog using your files, follow the next steps:
1.Log in to Bizagi Studio and go to the Expert view.
2.In the left-side menu, open the AI Hub module.
3.Navigate to the Knowledge base section.
4.Select the Category where you want to create the Knowledge Base Catalog and right-click it.
5.Click New catalog or use the New catalog button in the top ribbon.

6.Select File and click the Create button.

Configuration
Once you click Create, the New Knowledge Base Catalog window appears, where you can define Catalog details and upload the documents that will compose it.

Catalog details
Start by providing the basic information:
•Name: Enter a descriptive name for your Catalog (up to 50 characters).
•Description: Explain what the Catalog represents and how it will be used (up to 1,000 characters).
Files upload
Next, upload the files that contain the knowledge you want Bizagi to use. Click Click to browse and select one or more documents.
You can upload documents in PDF, DOC, DOCX, TXT, MD, JSON, XLS, XLSX, or CSV format.
Bizagi Files Knowledge reads both text and embedded images to deliver richer, more accurate results. It also validates structured data in spreadsheets to ensure precise extraction of information.

When uploading files, bear in mind the following considerations: •You can upload a maximum of 7 files per Catalog. •Each file can be up to 50 MB in size. •Make sure your files do not have any kind of restriction. Password-protected files are not supported. •Each file name must be unique within the Catalog. Duplicate file names are not accepted. •Use clear and concise file names of up to 50 characters.
If any of these conditions are not met, Bizagi automatically displays an error message explaining the issue so you can correct it before continuing. |
Once uploaded, each file appears in a list where you can review or edit its information:

Use the download icon to save a copy or the trash icon to remove a file from the list.
When everything looks good, click Create to generate your Catalog.

If any file is still being uploaded or processed, Bizagi shows a message and updates the status automatically every 15 seconds. There is no need to close the window to check progress. |
Document status
Each file goes through a few states while being processed:

Files download
You can download the files already uploaded to a Files Knowledge Catalog by clicking the download icon next to a file and selecting a location to save it.

Once all configurations are complete, the Catalog appears listed under the selected Category, displaying the defined name. Catalogs created using Bizagi Files Knowledge are represented with a distinct icon, allowing you to easily differentiate them from those built with Bizagi Data Knowledge.

At this point, the Catalog is ready to be associated with your AI Agents and AI Workers, enabling them to use its structured information to deliver more accurate and context-aware responses.

When working in the Management Console (MC), the Environment category in the Bizagi Files Knowledge tab lets you create, edit, and delete Knowledge Base Catalogs for your Test and Production environments directly from the MC. These actions complement the Bizagi Files Knowledge configuration in Studio, ensuring consistency across environments.
