How to manage users - Workgroup plan

Overview

The Bizagi Modeler Workgroup plan lets you add and remove as many users as are included in your plan. To manage users in your subscription, Bizagi has the Customer Portal. This is a centralized web-based application that lets you manage users of your plan.

 

Considerations

Only the plan owners can add or remove users.

When you share models, the user you want to share with must be added to the plan first.

When adding a new user to your plan, make sure the user is not already subscribed to a paid plan.

An invited user to your subscription counts even if the user has not accepted the invitation yet.

If a user is removed from the plan, the owner can include them again.

If users are removed from the plan, their models are transferred to the plan owner.

 

Accessing Customer Portal

When you purchase a Workgroup plan, the owner user is entitled to access the Customer Portal to define other users or administrators

 

After you have purchased the plan, you can access it using the following URL:

How to add users to the plan

1. From the Customer Portal, select Modeler Services and click Users.

2. In the Users window, click Invite user.

3. In the window that appears, enter the email of the user you wish to include in the plan and click Send invitation. The invited user must have an active Bizagi account or create one. You can add a personal message to the user you are inviting.

If the invited users already belong to a Workgroup trial, the Customer Portal displays a message stating that they cannot be added to the subscription. The message indicates that these users must cancel their Trial before sending the invitation again.

4. A pop-up message appears to confirm that number of users added to the subscription.

The user invited appears in the list with status Invited and the number of users in the subscription increases.

5. Bizagi sends an email to the invited user, who must click an Accept invitation link to join the team. When users join the team, their models become part of the plan and can be shared with the team. If a user is removed from the plan, their models are assigned to the plan owner.

6. Once the user accepts the invitation, their name appears in the list of available users and their status changes to Active.

How to remove a user or an invitation from the plan

1. From the Customer Portal, select your Modeler Services and click Users.

2.  In the Users window that appears, locate the user whom you wish to remove. You can also type the user’s email in the search bar.

2.1 If the user has been accepted the invitation, click the three dot menu and select Remove user.

A pop-up window appears to remind your that the action can't be reversed. Take into account that the removed user models' will be transferred to  the owner. If you want to proceed, click Remove.

2.2 If the user has not accepted the invitation, click the three dot menu and select Cancel invitation.

Take into account that once the invitation has been removed, the invited user cannot enter the subscription even if they accept the invitation using the link sent in the email.

 

3. A notification appears to confirm that the user was successfully removed or the invitation was canceled. Furthermore, the user is removed from the users list and the number of users decreases.

 

How set a user as owner

If you want to change the owner of the subscription or entitle another user as the owner, follow these steps.

 

1. From the Customer Portal, select your Modeler Services and click Users.

2.  In the Users window that appears, locate the user whom you wish to entitle as subscription owner. You can also type the user’s email in the search bar.

3. Click the three dot menu and select Set as subscription Owner.

4. A confirmation messages appears informing that this user has been changed their role to Subscription owner. From now on, this user has access to the Customer Portal to administer the users in the subscription.
